Summary information is available at any time from the REPORTS menu. The summary files are the only files that cannot be edited before printing. Selecting the SUMMARY REPORTS from the REPORTS menu will open the SUMMARY window. Four reports may print, depending on which parts of the program you use in your school: breakfast activity, lunch activity, snack activity, and deposit activity. These reports contain the category totals for each day a daily meal or deposit report was printed. The counts for the entire month for free, reduced, pay, adult, etc. are printed on these reports. Reports can also be separated out by track or printed for the entire school.
Choose a month, year and report type you wish to print and press the search button. If there is any data matching the criteria selected it will appear in the list box below.
A hard copy of this summary may be printed by pressing the PRINT REPORT button.
A money summary has been added but only works when using only student accounts. It will give you valuable information to help analyze your data. To print a money summary, select ALL from the report type popup menu. A list of all meals and deposits for the month will be displayed in the listbox. Data cannot be analyzed on the screen. To get the money summary you need to press the print money summary button. This only works properly when using student accounts at this time.
After each selection, the search button must be pressed to display the new data before printing a report. Select here to view data for the entire school or a particular track. Only active tracks will show. By default, all data will be displayed.
Choose the month for the report you want to print. The current month will be the default.
Choose the year for the report you want to print. The current year will be the default.
Select here to view which data you would like to display. By selecting all, a money summary button will appear to the far right. Lunch is the default.
The first time you run School Lunch, a new folder is created called SLExternals. This folder is automatically added to the Documents folder on Mac OSX or to the My Documents folder on Windows computers on the computer from which the report was printed. Printing from multiple computers will cause report folders to be created on each computer but each computer will only have the reports which were printed from that computer. If you were to check inside the SLExternals folder you will see a separate folder each for Lunch, Breakfast, Snack and Deposit. An additional folder is also created called Backups (to be discussed later). After each daily report has been processed properly, a backup copy is copied to the corresponding meal type folder found in the SLExternals folder. Those files are not to be moved by the user. School Lunch will know where to retrieve them if ever needed, so it is best not to bother the SLExternals folder, just know that it exists.
The Last Report Manager manages all previously printed reports. Any report that has been saved and not moved can be reprinted directly from School Lunch. When you need to print a previously posted report, select the LAST REPORT MANAGER from the REPORTS menu and the Last Report Manager window will appear. The Last Report Manager will easily allow you to find the desired report. Menu buttons for each type of report run along the top of the window. Pressing these buttons pulls up a menu with the current day option for month options for the report you want to print. When you choose an option, all existing reports for that option will appear in the list.
Options in the list can be sorted by pressing the header at the top of the list which shows which type of report is being viewed. Reports are named using the following format: year_month_day (space) hour_minute_second.txt. This makes finding the exact report to print easy to find.
Clearing out unwanted past reports is easy to do from the Year-End File Clear menu option under the Utilities menu. A backup of past reports can be accomplished by copying the SLExternals folder to a backup location. This should be done at the end of each year and past year’s report files should be cleared so current years files are easier to find.
